This Privacy Policy explains how we collect, hold, use, and disclose your personal information when you visit https://www.clearpathhauling.com.au/(the "Site"), request a quote or booking, or otherwise contact us about our junk removal services across the Hills District and Greater Sydney, NSW.
We handle personal information in accordance with the Privacy Act 1988 (Cth) and the Australian Privacy Principles (APPs). By using the Site or providing us with your personal information, you agree to the practices described in this policy.
What personal information we collect
We only collect personal information that is reasonably necessary to provide our services. Depending on how you interact with us, this may include:
- Contact and identity details — your name, email address, and phone number.
- Job and location details — the address or suburb where you need work done, the type of service (residential, commercial, or construction), the items to be removed, an estimated load size, your preferred date and time window, and any notes or messages you choose to give us.
- Quote and booking history — records of the quotes, bookings, and enquiries you submit, and our correspondence with you about them.
- Technical and usage information — collected automatically when you use the Site, including your browser type and user agent, the page you submitted a form from, and campaign (referral) parameters if you arrive via a marketing link. For fraud prevention and rate limiting we also derive a one-way hashed value from your IP address; we do not store your raw IP address.
Sensitive information
We do not seek to collect "sensitive information" as defined in the Privacy Act (such as health, racial or ethnic origin, political, religious, or biometric information). Please do not include sensitive information in free-text fields such as job notes.
Children's privacy
Our services are directed at property owners, occupiers, and businesses, not children. We do not knowingly collect personal information from anyone under 16. If you believe a child has provided us personal information, contact us and we will delete it.
How we collect your information
We collect personal information in the following ways:
- Directly from you — when you complete our quote, booking, or contact forms, call or email us, or otherwise communicate with us.
- Automatically — through the technical and usage information described above, and through the analytics and security tools described below.
Where it is lawful and practicable, you may deal with us anonymously or under a pseudonym — for example, by making a general enquiry over the phone without providing your full details. However, we generally cannot provide a quote or complete a booking without enough information to contact you and attend your property.
Why we collect, use, and disclose your information
We collect, hold, and use your personal information to:
- respond to your quote, booking, or contact request;
- prepare estimates, schedule jobs, and carry out the services you request;
- send you service-related communications, such as confirming or rescheduling a booking;
- keep records and meet our legal, tax, and accounting obligations;
- detect, prevent, and investigate spam, abuse, and fraudulent form submissions; and
- maintain, secure, and improve the Site.
We only use or disclose your personal information for the purpose we collected it, for a related purpose you would reasonably expect, or where you have consented or we are required or authorised by law. We do not sell your personal information, and we do not disclose it to third parties for their own marketing.
Cookies, analytics, and tracking technologies
The public Site uses minimal cookies. We use privacy-conscious, cookieless analytics (Vercel Analytics and Speed Insights) to understand aggregate Site usage and performance — these do not use third-party advertising cookies to track you across other websites. Essential cookies may be used to keep the Site secure and functioning (for example, our optional bot-protection tool and, for staff only, the admin login session). We do not use advertising or cross-site tracking cookies.
Third-party service providers
We use reputable third-party providers to operate the Site and deliver our services. Each processes data on our behalf and only as needed for its function:
- Supabase — secure database hosting for quote, booking, and contact records.
- Vercel — website hosting, infrastructure, and cookieless analytics.
- EmailJS — sending us transactional email notifications when you submit a form.
- Upstash — optional rate-limiting infrastructure; stores no more than a hashed IP value and a short-lived counter.
- Sentry — error monitoring, so we can find and fix bugs on the Site.
- Cloudflare Turnstile (where enabled) — bot and spam protection on our forms.
Overseas disclosure of your information
Our providers store or process data on servers located outside Australia. In particular:
- the quote, booking, and contact records you submit are stored in our database, hosted by Supabase in Japan (Tokyo region); and
- our hosting, email, error-monitoring, and spam-protection providers (Vercel, EmailJS, Sentry, Upstash, and Cloudflare) may process data in the United States and other countries where they operate.
This means your personal information may be disclosed to, and stored by, recipients overseas. Where we disclose personal information overseas, we take reasonable steps to ensure it is handled consistently with the Australian Privacy Principles, including by using established providers that are contractually bound to protect it. If you have questions about our overseas data handling, contact us using the details below.
Direct marketing
We use your contact details primarily to respond to and service your request. If we ever send you marketing communications (such as service updates or offers), we will do so only where permitted under the Privacy Act and the Spam Act 2003 (Cth), we will identify ourselves, and every message will include a simple way to opt out. You can also ask us at any time to stop sending you marketing by contacting us at info@clearpathhauling.com.
How we store and protect your information
We take reasonable steps to protect your personal information from misuse, interference, loss, and unauthorised access, modification, or disclosure. These steps include:
- encrypting data in transit (HTTPS) and relying on providers that encrypt data at rest;
- storing only a one-way hash of IP addresses, never the raw address, so form records cannot be tied back to a specific IP;
- restricting access to submissions to authorised staff through an access-controlled admin dashboard protected by authentication;
- applying rate limiting, honeypot, and origin checks to defend our forms against automated abuse.
No method of transmission or storage is completely secure, but we work to protect your information and continually review our safeguards.
Data retention
We keep quote, booking, and contact records for as long as reasonably necessary to provide our services, maintain our business records, and meet our legal, tax, and accounting obligations (generally, business records are kept for at least five years). When personal information is no longer needed for any lawful purpose, we take reasonable steps to delete or de-identify it.
Data breaches
If a data breach occurs that is likely to result in serious harm to affected individuals, we will respond in line with the Notifiable Data Breaches scheme under the Privacy Act — including notifying you and the Office of the Australian Information Commissioner (OAIC) where required.
Accessing and correcting your information
You have the right to request access to the personal information we hold about you and to ask us to correct it if it is inaccurate, out of date, incomplete, or misleading. You can also ask us to delete information we no longer need. To make a request, email us at info@clearpathhauling.com. We will respond within a reasonable time and may need to verify your identity first. There is normally no charge to access your information, though we may recover reasonable costs for substantial requests, and we will explain any refusal.
Complaints
